Corporate Administrative Assistant

PEO Canada, a professional employer organization, is currently recruiting internally for an Corporate Administrative Assistant to join their company in downtown Calgary. This role requires a dynamic, resourceful individual who thrives in a fast-paced, in office environment, anticipates needs, and works well both independently and as part of a collaborative team.

Description

  • Provide high-level administrative support to the CEO and Executive Team, including calendar management, scheduling meetings, travel coordination, and preparing materials for presentations or meetings.
  • Understanding of confidentiality expectations and process
  • Manage incoming communications (emails, calls, and requests) for the Executive Team, ensuring timely and professional responses.
  • Proof reading and formatting of documents for the executive team
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Maintain organized filing systems (both physical and digital) for all important executive documents.
  • Handle sensitive information with discretion, ensuring confidentiality and compliance with company policies.
  • Assist with ordering office supplies, equipment, and other administrative functions when required.
  • Manage and assist with corporate travel booking and vendor relationships
  • Perform routine office tasks such as printing, scanning, faxing, and photocopying documents for the executive team.
  • Assist with special projects as needed, including research, follow-up, and coordination across departments.
  • Sort and distribute incoming mail to the applicable departments on a daily basis.
  • Assist with coverage for the front end administrative/reception team when needed.
  • Perform additional support tasks when required.

Required Skills

  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Attention to detail and the ability to work independently with minimal supervision.
